How Cyculus Solved its Operational Bottlenecks with Dynamics 365?

About the Client 

Cyculus caters to the secondary device market and is a mobile device processing industry, thereby working and promoting a circular economy. It provides avant-garde robotic device technology support to the secondary device market. The enterprise can process 300 units per day with their 9-step grading system and cleaning process (Receiving – Device Cleaning – Cosmetic Inspection – Display, Touchscreen, Camera, Charging & Sensors Checks, Audio checks – Data Clearing – Protect) in place. Their enterprise can provide end-to-end robotic technology to clean, grade, and test phones of different sizes (Android or Apple devices). They also provide the processed mobiles with a screen protector and will securely place it in a heat-sealed bag before moving it out of the machine. Their Device-as-a-Service (DpaaS) model is there to make robotic processing accessible for all businesses without incurring any substantial upfront costs. 

What Were the Primary Challenges of Cyculus? 

Cyculus has an impeccable technological setup except in two places where they needed our support. Their problem rested primarily with the processing of customer information. Device processing opportunities means having customers to handle. It also involves having to evaluate customer data, thereby necessitating the generation of detailed customer reports as well as generating invoices with improved precision and efficiency. 

They had a huge bulk of customer reports to process and a large number of invoices to generate on a daily basis. Keeping them in a centralized location and referring to them when necessary was also what they wanted to do as part of the process. 

What Technological Aid Did We Bring Their Way? 

We investigated their challenges and decided on Business Central. 

Our team implemented enterprise-level Business Central features with suitable customizations as required. 

Business Central can create a suitable front for generating customer reports like built-in reports (assisting auditing, reconciling general ledger balances, financial data analysis), customizable reports (dataset designing, visual layouts for Excel, Word, Report Definition Language (RDL)), as well as automated data processing reports (updating item pricing in lists). 

With Business Central, even generating invoices could become better. Service Invoice Reports (invoice number, order number, posting date, due date, payment terms, as well as customer details) can be easily generated with it. Automating the invoicing process (by setting predefined criteria for timely and accurate billing) as well as helping in integration with other Microsoft systems like Excel and Outlook for easy data import/export becomes easier.

Process of Dynamics 365 Business Central Integration 

Dynamics 365 Business Central was implemented from scratch, and that included carrying out company setup, environment configurations, enabling generating reports with Apkudo (engineering services & software solution for the circular industry), and SharePoint (collaboration software tool for managing content, data, and applications for different kinds of industries). 

Custom report development enablement (define, select, design, develop, test, deploy, share) and DATEV (German software providing software and IT services for auditors, lawyers, businesses) setup was also a part of the project. 

There were some major steps we carried out after we decided on the solution. We, meanwhile, explained in detail to our clients how or what ways they could benefit from it. 

These were some of the steps we used for integrating Dynamics 365 Business Central. 

  1. We needed to know more about their requirements. When we had suitably gathered a list around their requirements, we went ahead and checked on those aspects. 
  2. Next, we ran a suitable business analysis using our tools on their business parameters. 
  3. The third step of the process was creating a sandbox and UAT setup as well as running the tests suitably. 
  4. Fourth, we went live with their initial requirements and asked them for their assessment and feedback. 
  5. The ongoing implementation of third-party integration was the final step. 
  6. Our expert team also trained them with the changes effectively. 

What Was the Net Result of the Business Central Implementation? 

All they had to do was log in to Business Central, then visit the reports section, choose the option to generate a new report, define the data source, design the layout, finally run a preview, and then end it by testing the entire process. 

Define, choose, design, develop, test, deploy, and share the report were the step outlines. Successful Business Central implementation created an automated document tracking facility, and our use of Power Automate created suitable webhooks for feasible third-party integrations.  

Our customization of the business reports proved extremely beneficial for our clients. They were now able to create visually rich, clear, well-formatted, real-time documents generated automatically with Business Central. 

Even generating, sending and receiving invoice requests became easier for them and what was earlier a messed-up process was now streamlined and all spruced up.
