The client is one of the largest growers and distributors of ornamental flowers and potted plants in North America. As a vertically integrated horticulture company that is continuously innovating, they offer services tailored to the needs of large wholesale and retail partners.
The client has seen excellent growth in recent years. To meet such an increased demand, they needed to enhance collaboration among different teams, to improve responsiveness. However, the client did not have an intranet or any other advanced communication systems, which was a serious impediment to their operations.
With a growing operation, they also needed to manage a large volume of documents. However, retrieving the documents and sharing the information within the team was difficult. This also created the demand for an efficient intranet system.
Another challenge faced by the client was to keep the documents secure. Several of the documents were highly confidential and they needed to ensure that only relevant people could access the files.
Therefore, they were actively looking for a solution that will address all these challenges.
To meet their extensive collaboration needs, we determined that building an intranet based on SharePoint. Microsoft SharePoint provided a user-friendly, efficient, and highly secure platform to build a customized intranet which will meet all the requirements of the client.
Our team of SharePoint consultants planned an intranet with individual team sites for different departments like IT, Logistics, Administration, Sales, Marketing, and HR. This would allow for seamless collaboration and information exchange between different teams.
The home page is critical for having a productive SharePoint experience. So, our team focused on designing the home page to make it user-friendly, having all the necessary elements. We made sure that the home page consisted of dedicated sections for industry news and announcements sections, quick links, documents, important company events, teams, and others, as required by the client.
We started off by carefully understanding the requirements of the client. Our team engaged in productive discussions with stakeholders to identify the goals, decide on the right approach, and establish KPIs and proceeded towards implementation.
Our team proceeded to design the SharePoint intranet, starting with the SharePoint home page. One of the first things that we did was to customize the overall visual identity of the intranet with the corporate branding, logos, and other elements. We also focused on enhancing the overall usability of the website, ensuring that both technically adept and non-technical users can easily use the system. This was key in increasing the rate of adoption.
Similarly, we designed the individual team sites, after carefully understanding the specific needs of each department. Another key area we focused on was the security of the documents. To do that, we leveraged the advanced security settings of SharePoint. Apart from that, we also implemented granular user access controls, which enabled only the relevant users to access the documents.
Our customized intranet proved to be instrumental in upgrading the operational processes for the client. With a powerful, brand-new intranet, they successfully evolved into a cohesive organization and unlocked better opportunities for growth. All the departments significantly increased productivity, as they spent less time retrieving and sharing information between teams and employees and work was done faster.
