Their Problem

Daily USSC receives a huge number of emails that contain invoices and information related to invoices. Checking and going through every mail manually poses a threat of missing out on important information or missing out on an invoice. Storing, recapitulating, circulating and tracking the data extracted from the mails was again a challenge.

Our Solution

Our experts at Evolvous suggested a 3-way approach to the Invoice data management challenge by leveraging Power Apps and SharePoint.

  • Using Responsive Power Apps for automating the entire process of invoice management and data extraction.
  • SharePoint to be used as a direct backend database.
  • Internal SharePoint site for each department separately for data circulation.

The Impact

Using Power Apps, our team built an application whose purpose is to automatically pull-out information from the email body and invoice and add the data to SharePoint destination which acts as a backend database. Users could use the filter functionality in the application to filter data according to their search requirements. They could also identify the request and send it to the concerned manager for approval. Moreover, one can easily track the timeline of the request raised.

Our team also added a bonus functionality where the user can directly send mail to the customer in case there is a need for further clarification on an invoice without going to outlook.

Finally, our team built intra site for each department separately for enhanced data and information circulation.
