Integrating AI Chatbots into Power BI Embedded Reports: A Step-by-Step Guide
AI chatbots are fundamentally changing how businesses interact with data. By adding an AI chatbot such as Microsoft Copilot to your Power BI embedded reports, you can create smarter conversational insights directly from your dashboards.
While Copilot embedded is inherently supported in Power BI Service, it will require a slight modification to the process of how we implement the AI chatbot in our custom Power BI embedded dashboards. On this note, we will show you how to implement a conversational AI chatbot within the Power BI embedding reports by making the process as simple as possible to ensure security and user ease.

How Does an AI Chatbot Enhance Power BI Embedded?
An AI chatbot integrated with Power BI Embedded accelerates data engagement and simplifies user experiences. Users can now ask questions in natural language and retrieve immediate, actionable insights; no dashboard or filtering experience required.
Conversational Analytics: Users can ask questions in their natural language and receive real-time responses.
Enhanced User Experience: Users can interact with data without complex filtering.
Automated Insights: AI identifies trends and anomalies and makes suggestions for action.
Custom Workflows: Chatbots can be connected to APIs, databases, and processes from existing lines of business.
The Process of Integrating Microsoft Copilot AI Chatbot into Power BI Embedded Reports
The overall process can be divided into multiple stages. Please note that depending on your existing setup, you might need to make changes to the overall process. This is why it is recommended to get your setup assessed by a Power BI specialist before you proceed.
Here is an overview of the process that we follow:
STAGE 1: Use Power BI Embedded in a Web App
First you need to host your Power BI inside a custom web application. For this, you need to have a have a web app based on React, Angular, or even plain HTML/CSS. You can use the Power BI JavaScript API for hosting the embedded Power BI report.
This will give you full control over the page and how it behaves.
STAGE 2: Add the Copilot Chatbot
Next, you will need to add the Copilot chatbot in the web app. You can use the iframe or React component for Copilot Studio web control to embed the app.
However, before you do that, you need to make sure that you have the required licenses for Copilot Studio. Ensure that your Copilot agent is properly set up.
PLEASE NOTE: You can also integrate Azure Bot or OpenAI generative AI models to your web app.
Integration Options:
| Method | Best For |
| Copilot Studio Web Control (React/iframe) | Native Microsoft integration |
| Azure Bot Service | Customizable bot logic |
| OpenAI API + Semantic Kernel | Advanced AI-driven responses |
STAGE 3: Connect the Chatbot with Power BI
If you want the chatbot to interact with the Power BI report or data, you need to use the following:
- Power BI REST API for query datasets
- Direct query endpoints via Azure OpenAI and semantic layer (if required)
- Pass filter/slicer context to the chatbot via JavaScript.
STAGE 4: Configuring Security and Permissions
By this stage, you are done with the basic setup. But it is also important to configure security and permissions for your Power BI embedded report. Here are some of the things that you need to do:
- Ensure that all target users are authenticated with Entra ID
- Apply Row-level Security (RLS) in Power BI
- It is also important that you make sure the chatbot honors the same security context.
This is the process that you need to follow to integrate your Copilot AI Chatbots with Power BI embedded report.
Alternative AI Chatbot Options
While Microsoft Copilot offers powerful integration, it may not suit every business need. If you require more customization, flexibility, or advanced AI capabilities, these alternatives can enhance your Power BI embedded reports with intelligent, data-driven conversations:
Azure OpenAI: Build a custom GPT-powered chatbot with enterprise-grade security.
LangChain + Power BI: Enable advanced AI-driven analytics with dynamic data retrieval.
Custom Bot Framework Solutions: Tailor chatbot logic to your unique business workflows.
Alternative AI Chatbot Possibilities
While Microsoft Copilot provides a powerful integration, it may not provide solutions for your business needs. If you need something that is more customizable or flexible or has more advanced AI capabilities, these alternatives can add intelligent, conversation-based data mining to your Power BI reports as follows:
- Azure OpenAI: Build your GPT-based chatbot with enterprise-level security
- LangChain + Power BI: Enabling advanced capabilities in your data exploration will allow the users to retrieve dynamic data and create driven analytics based on firm’s practices.
- Custom Solutions based on Bot Framework: Customize the chatbot logic based on your business processes.
Smart Reporting with AI Chatbot and Power BI
At the end of the day, Artificial Intelligence Chatbots with Power BI reported reports to help service analytics. Smart report generation, and smarter analytics facilitate access to insightful & actionable data and analytics. The process may take a few steps (i.e., embedding reports, connecting chatbots to Power BI, and securing your data). if you can take it to linking chatbots with Power BI reports, you have a smarter and more engaged reporting solution.
